What is a whistleblower system?
A whistleblower system enables employees and external persons to anonymously and securely report violations of laws or internal rules, such as fraud, corruption or data protection offences. It protects whistleblowers from reprisals and fulfils legal requirements.
Who is obliged to set up a whistleblower system?
Companies with more than 50 employees, as well as certain professional groups (e.g. lawyers, tax consultants), are legally obliged to provide a whistleblower system, at the latest since the Whistleblower Protection Act came into force.
What does the Whistleblower Protection Act (HinSchG) regulate?
The law protects whistleblowers who report violations from dismissal, harassment or discrimination. It stipulates how reporting centres must be set up, operated and documented in a confidential, GDPR-compliant and secure manner.

Who is authorised to access the information?
Only clearly defined persons or departments, e.g. compliance officers or external reporting centres, have access to information. Regpit supports the assignment of roles and rights as well as clear documentation of all access processes.
What requirements does the HinSchG place on a whistleblower system?
The system must be secure, confidential, GDPR-compliant and independent. It must adhere to deadlines (e.g. confirmation of receipt within 7 days, feedback within 3 months) and offer the option of submitting reports in writing or verbally.
What can be reported via the whistleblower system?
Reports can relate to breaches of the law, corruption, money laundering, fraud, environmental offences, data protection violations and other serious abuses. Regpit enables structured categorisation and case processing.
Is Regpit's whistleblower system GDPR-compliant?
Yes, all data is processed in German data centres, stored in fully encrypted form and automatically deleted after the retention periods have expired. Regpit fulfils all data protection and IT security requirements.
